HighLevel for agencies: how it works and who it fits
How agencies use HighLevel: sub-accounts, snapshots, SaaS mode, client reporting and white label, with plan requirements, costs and who should look elsewhere.

Short answer
HighLevel is an all-in-one platform built around the agency model. You run one agency account, create a separate sub-account for each client, copy setups between them with snapshots, and can resell the software under your own brand. It fits agencies running follow-up and messaging for local businesses, less so a CRM for your own sales team.
HighLevel is an all-in-one platform built around the agency model: you run one agency account, create a separate sub-account for each client, copy proven setups between them with snapshots, and optionally resell the software under your own brand. It fits agencies that run follow-up, pipelines and messaging for local businesses. It fits less well if you only need a CRM for your own sales team. How we researched this
This guide is based on HighLevel’s pricing page and help center articles read on 2026-10-31. We did not build an agency on it, so we describe documented features and plan rules, not how smooth they feel in practice. Prices are list prices in USD.
What HighLevel replaces for an agency
For most agencies the pitch is consolidation: a CRM, pipelines, email and SMS, calling, funnels and websites, workflows and reporting in one login, instead of several subscriptions per client [1]. Whether that saves you money depends on what you pay today. Use the Software Stack Savings calculator with your own tools and prices.
Sub-accounts: one workspace per client
A sub-account is the container for one business: its contacts, pipelines, automations and messaging. Starter ($97 per month) allows 3 sub-accounts. Unlimited ($297) and Founder ($497) have no sub-account cap [1]. Contacts and users are unlimited on Starter [1], so you are not charged per client contact. Usage is another matter (see costs below).
That cap is the practical reason agencies move from Starter to Unlimited: at four clients, or three clients plus your own account, you outgrow Starter. Read the pricing guide for the plan comparison.
Snapshots: set up once, copy to each client
A snapshot captures selected configuration assets from a sub-account, such as automations, pages, pipelines, reporting setups and memberships. Share links let another agency or recipient import it, and importing adds it to your agency’s snapshot library [4].
Three limits matter:
- Snapshots do not carry contacts, appointments, conversations, messages, integrations, Stripe connections or assigned Voice AI phone numbers [4].
- Some copied assets need integrations, approvals or setup after loading [4].
- A snapshot does not update on its own. You refresh it to capture new or changed assets from the source sub-account [4].
In practice that means an onboarding checklist for each client even with a good snapshot. See HighLevel snapshots explained.
SaaS mode: selling the platform as a subscription
SaaS mode lets an agency charge clients for the platform itself. The help center says you must connect your own Stripe account first, the client needs at least one account admin to manage a payment method, and rebilling at markup “is only available on the Founder Plan” [3]. The pricing page describes SaaS mode as a way to sell subscriptions and rebill usage such as SMS, email and WordPress hosting at prices you set [1].
On the $297 plan you can rebill phone usage without markup, and only for clients using HighLevel’s own LC Phone rather than their own Twilio account. Charges go to the client through your Stripe, with a default 1.05x multiplier to cover Stripe fees [3].
Do the arithmetic before you commit: the $200 monthly difference between Unlimited and Founder has to be covered by markup income. The Agency Profit calculator models this with your numbers. For the full setup, see the SaaS mode guide.
Client reporting
Two documented pieces:
- Scheduled reports. The Report Scheduler emails performance reports to sub-account admins and users daily, weekly or monthly, combining cards such as contacts, SMS, appointments and email. A report is only sent if at least four of its cards have non-zero values. Delivery follows the sub-account’s time zone. Agency View scheduling controls are available on the $497 and above plans [6].
- Rolled-up reporting. Key data from all sub-accounts is rolled up into the agency account, with up to eight columns for the summary cards, including contacts, appointments, email, SMS, calls and reviews. The article says this is only available on the Pro Plan ($497) [5].
We have not seen how these reports look to a client. If branded PDF reports matter to your retainers, check them in the trial first.
White label: your brand, not HighLevel’s
The documented setup is a CNAME record from a subdomain you own, a white label domain entered in Agency View, a logo and links to your privacy policy and terms. That brands the desktop login and app URL. Links in emails and texts are handled by the separate API domain setting, and the article states no plan requirement [7].
Further steps cost extra or need a higher plan. A white label mobile app is a $497 per month add-on, included on Enterprise, and a branded client portal app is $49 per month per sub-account [1]. SaaS Multi-Brands, which lets one SaaS account run up to two brands, each with its own domain, theme and legal links, is limited to the $497 Founder plan and was in private beta when we read the help article on 2026-10-31 [8]. See the white label guide.
What does HighLevel cost beyond the plan?
| Item | Rate | Source |
|---|---|---|
| $0.675 per 1,000 emails | [2] | |
| Premium workflow actions | $0.01 per execution | [2] |
| A2P 10DLC registration (US texting) | $22.50 one-time for sole proprietor or low-volume standard brand; $64.00 high-volume standard | [9][10] |
| A2P monthly campaign fee | $1.50 to $10.00 by use case in the A2P fees article; up to $2.10 (sole proprietor), $1.50 to $10.50 (low volume) and $10.50 (high volume) in the newer phone pricing guide | [9][10] |
SMS and call rates are in HighLevel’s phone pricing guide [10]; our usage costs guide and pricing guide summarise them. Because usage is billed through a wallet that auto-recharges, check the settings before connecting a real client [2].
Who does HighLevel fit?
- Agencies serving local and service businesses with follow-up, booking and review workflows for several clients.
- Agencies that want to resell software under their own brand and are prepared to run Stripe billing and support.
- Consultants who want one login across client accounts.
Who should not choose HighLevel
- You need a deep CRM for your own sales team only. See HighLevel vs HubSpot for agencies.
- You do not want usage-based bills that grow with client volume [1][2].
- You need the reporting or SaaS features but only want to pay for the lowest plan; they sit on the $497 tier [3][5][6].
- You want to resell many third-party products; see HighLevel vs Vendasta.
A sensible starting path
- Count the clients you expect in six months and pick Starter or Unlimited from that.
- Decide whether you will mark up usage; if not, you do not need Founder yet.
- Start the 14-day trialaffiliate (opens HighLevel in a new tab) and build one snapshot from your best-performing client setup.
- Read the wallet and A2P settings before connecting a client’s phone.
- Compare the monthly total with what you pay now in the Software Stack Savings calculator.
The trial is 14 days on any plan; billing starts automatically afterwards unless you cancel, and usage fees can apply during the trial [1]. For the broader CRM question, read best CRM for marketing agencies or take the CRM quiz.
Onboarding a client: the documented path
Putting the pieces together, a typical new-client flow looks like this. These are steps assembled from the help center articles above, not a tested procedure.
- Create the sub-account for the client (within your plan’s cap) [1].
- Load your snapshot of pipelines, workflows and pages, then finish what a snapshot cannot carry: integrations, Stripe connection and phone numbers [4].
- Register the client’s brand and campaign for US texting if they will send texts from LC Phone [9].
- If you rebill usage, connect Stripe, make sure the client has an account admin, and collect their card, not yours [3].
- Schedule the monthly report for the client’s admins, and confirm it has at least four non-zero cards or it will not send [6].
- Keep the snapshot current. It does not refresh on its own [4].
Each step has a real cost in time even when the software cost is low. Price your onboarding fee with that in mind.

Questions
What is a HighLevel sub-account?
It is the separate workspace HighLevel uses for one client business, with its own contacts, pipelines, automations and messaging. Starter allows 3 sub-accounts and Unlimited removes the cap [1].
Can I resell HighLevel under my own brand?
Yes, in stages. A white label domain brands the login and app URL [7]. Selling the platform as your own subscription (SaaS mode) and marking up usage requires the $497 Founder plan and a connected Stripe account [1][2][3].
Does HighLevel have client reporting?
It has scheduled email reports to sub-account users [6] and an agency-level rollup of key numbers across sub-accounts [5]. The help center ties the rollup, and Agency View scheduling controls, to the $497 plan and above [5][6].
What do agencies pay beyond the plan?
Usage: email, SMS, calling and some AI features are billed on top of the plan, funded from a wallet [1][2]. If you rebill clients, you also carry Stripe and support work [3].
Is there a free trial?
HighLevel's pricing page shows a 14-day free trial on any plan, with automatic billing afterwards unless you cancel [1].
